Terms & Conditions

1 Confirmation – Written confirmation is required within 14 days of the original verbal booking with a best estimate of numbers & a £1500.00 non-refundable deposit. The hotel reserves the right to cancel a booking if written confirmation is not received after 14 days.

2 Numbers – Final numbers to be confirmed 14 days in advance and this will be the minimum package price, which will be charged. Please note that 100% of evening guest must be catered for.

3 Cancellation – In the event of cancellation there will be a charge of –

A 6-12 months in Advance: 30% of the total anticipated charges

B 3-6 months in Advance: 70% of the total anticipated charges

C Less than 3 months: 90% of the total anticipated charges

D 14 days in Advance: 100% of the total anticipated charged

4 Finishing Times – Meetings/Events must finish at the time agreed when booking and an extension of time may not be possible.

5 Price Variation – The Moat House Hotel reserves the right to increase prices in the event of circumstances beyond control, e.g. increases in VAT.

6 Agents – Should a client contract with The Moat House Hotel through an agent, the agent acts for the client and it is the clients responsibility for the payment of The Moat House Hotel account.

7 Payment – A payment of £2000.00 is required in the February of the year of your wedding. Three months prior to the date of your wedding 70% of your final balance is payable and 14 days prior to your wedding date, final numbers and payment are required.

8 Damage – Clients are responsible to The Moat House Hotel for any damage caused by the clients, their guests, agents or employees.

9 Equipment and Property – Clients own equipment and property is bought in to The Moat House Hotel at their own risk and The Moat House Hotel accepts no liability for loss or damage

10 Force Majeure – if The Moat House Hotel is limited or hindered from hosting the event or providing any facility booked by the client due to circumstances beyond its control e.g. Government intervention, acts of God, civil disturbance, war, national or local disaster, strikes, labour disputes, then the liability of The Moat House Hotel to the client shall not exceed the amount paid by the client to The Moat House Hotel in respect of the event.

11 Contract – When a booking is confirmed in writing; with a deposit; or with a credit card number, a contract is

deemed to exist. This contract shall be governed in all respects by English Law. It can only be modified by a supplementary written contact. The Moat House Hotel will endeavour to provide the contracted meeting/event room. However, the hotel reserves the right to relocate the meeting/event to a different room/area of the hotel, whilst fulfilling all other criteria of the booking.

12 Accommodation -We have provisionally booked 10 bedrooms and a bridal suite for this date and these will be held for 12 weeks from today’s date. After this time the rooms will be released unless your guests have paid a £40.00 deposit to confirm the booking. If your guests wish to book after the 12 weeks then the wedding rate will still be applicable but rooms will be on a first come first served basis.
